A global energy management company has leveraged the capabilities of Box AI and Box Hubs to drive innovation in content management, leading to significant business advancements. Recognizing the value of artificial intelligence (AI) in optimizing their operations, they established an AI community comprising Line of Business (LOB) representatives. They identified various use cases and presented them to the Information Security Team for evaluation and approval. As early participants in the Box AI Design Partner Program (DPP), they highlighted the need for multi-document functionality to expand their use cases while exploring additional AI solutions.

Denise DeLisser, our dedicated Customer Success Manager, played a pivotal role in advocating for Box AI within the company. They were able to secure buy-in from the Chief Information Officer (CIO) for participation in the Box AI DPP starting September 2023. By facilitating discussions with our product team, providing necessary information for legal review, and ensuring internal approval processes moved forward smoothly, Denise ensured seamless integration of Box AI within the company's operations.

When initial concerns were raised by their CIO regarding our AI capabilities, we shared a detailed roadmap emphasizing specific use cases such as metadata suggestions that could bring substantial benefits to their business. This approach helped maintain a positive evaluation of Box AI within the organization.

  • Training Hub utilized as a centralized resource for training materials.

  • Allows quick access to training manuals and facilitates targeted queries even within lengthy documents.
  • Improved user interaction where employees can now engage with training manuals through natural language queries using Box AI.
     

💠 Box AI for HR Team

  • Identify trends and common topics across individual performance objectives.
     

💠 Potential future use cases include:

  • Utilizing AI for image and diagram analysis
  • Streamlining RFP search, review, and creation.

  • Box AI for Metadata: identifying use case for Box AI metadata extraction from invoices.

  • Aggregating queries to gain insights into document usage and needs.

  • Tailoring content and identifying training needs that enable more precise content customization and help identify specific training requirements, both in terms of content and AI utilization.

  • Documenting analytics with Box Shield integration where it employs Box AI to analyze documents and utilize Box Shield for automatic classification. For instance, if a certain document contains sensitive elements like a Social Security number, it can be automatically classified based on that information.

 

✨ Realizing Positive Outcomes and Driving Adoption Forward

 

The adoption of both Box AI and Hubs across all departments has been met with enthusiasm — following an on-site workshop conducted by our Solutions Engineers in May 2024.

Our future initiatives are to continue collaborating with the company's product team to assess metadata extraction capabilities via Box AI APIs which are now in Public Beta alongside organizing workshops, training sessions, and communication initiatives aimed at boosting adoption rates for Hubs and other AI solutions.

As our key insights indicate, implementing enterprise-wide adoption of artificial intelligence necessitates navigating multiple approval stages due to concerns surrounding cost savings, data security risks, and potential inaccuracies.
