Customers can now apply a Custom Extract Agent to a parent folder and automatically extract content across its nested subfolders, including existing files and new content as it’s added. We released a set of improvements to how Box Extract manages folder-level extraction, bringing greater flexibility, reliability, and control to Custom Extract Agents. These changes lay the groundwork for more scalable and conflict-free metadata extraction across your content in Box.Users can now apply Custom Extract Agents created in Box Extract to folders and subfolders to automatically extract structured data from both parent and subfolders at the same time, and apply that data as metadata in Box. Previously, Custom Extract Agents created in Box Extract can only be applied to parent folders to automate data extraction at scale. With this new feature, customers will be able to leverage Custom Extract Agents to automatically add metadata to existing files or new files added to a folder and its subfolders
The new Custom Extract Agent builder in Box Extract enables users to upload sample documents and build, configure, and test Custom Extract Agents for higher-quality extraction and accelerate time to value. We updated the Custom Extract Agent builder experience for end users within Box Extract, introducing the same agent building experience that was introduced as part of the AI-Generated Metadata Templates but without the ability to create a metadata template, providing a cleaner, more intuitive workflow for creating and testing Custom Extract Agents.End users can select from pre-created metadata templates and choose which fields their Custom Extract Agents should extract data toWhen selecting "Custom Extract Agent" from the "New" button, end users are displayed with the new Custom Extract Agent builder experience, which provides them with a split view that allows them to select an existing metadata template and configure AI instruction and prompts for more accurate extraction results. Dear Box Community, as a follow up to our recent community roundtable, I wanted to provide more background on in-region processing and why it is becoming more important. In this post I will cover the following questions, referencing our Box Zones white paper and other sources. \tWhat counts as in-region processing?\t\t\tWhich content operations matter?\t\t\tWhat trade-offs arise between residency and collaboration?\t\t\tWhat should an organization ask its provider?\t If this is helpful or if you have further questions please comment in the replies! What counts as in-region processing?\tIn-region processing means that content is stored and processed within a customer-selected geographic region, or “Boz Zone.” The Box white paper frames this as covering the content lifecycle - not only primary storage, but also routing, upload, download, and cross-Zone collaboration architecture. Box Zones white paper\t\t\tA Zone includes a primary and backup data center. In Box files are stored according to the top-l
Before you write a prompt or build an agent, there’s an important question to ask: Is this a good use case for AI?Not every task benefits from AI. The strongest opportunities usually involve work that is repetitive, knowledge-heavy, and based on content your organization already manages in Box.Identifying those opportunities is one of the foundational skills covered in the Box Certified AI Strategist curriculum. What makes a strong AI use case?A good AI use case usually has three characteristics:\tIt happens repeatedly. The task comes up frequently and follows a recognizable pattern.\t\t\tIt relies on content. People need to find, review, summarize, compare, or create information from documents.\t\t\tIt has a clear outcome. You can describe what a successful result looks like and how it would help the team.\tFor example, an HR team may answer the same questions about benefits and leave policies every week. A sales team may repeatedly review RFPs and draft responses. A legal team may extract th
As part of our ongoing commitment to transparency and security, Box is helping our customers navigate the recent updates introduced by the Federal Risk and Authorization Management Program (FedRAMP). As part of the FedRAMP 2026 Consolidated Rules, FedRAMP has introduced significant updates, including new terminology, that affect how federal agencies and cloud providers describe and pursue FedRAMP status. If you use Box to secure and manage your regulated content, this article explains what is changing, why these updates are being made, and what they mean for your organization. Why is the Terminology Changing? The FedRAMP Program Management Office (PMO) updated its language to clarify the distinct roles of Cloud Service Providers (CSPs) and federal agencies under federal security guidelines:\tAvoiding Confusion with Agency ATOs: The law defines a FedRAMP authorization as "a certification that a cloud computing product or service has completed a FedRAMP authorization process." Thank you to everyone who joined our Community Roundtable hosted by @Ben Weiner from Box , Katia Krasko, and Stuti Tandon, this session brought together for Box community to explore how organizations can transition from uncontrolled “token maxxing” to strategic, high-ROI AI optimization using the new Box AI Insights Dashboard in the Box Admin Console. 1. Summary & Core PillarsAs organizations rapidly deploy generative AI and custom agents across daily workflows, enterprise admins face a common governance challenge: understanding how AI is being utilized, by whom, at what scale, and at what cost.Without centralized visibility, organizations risk:“Token Maxxing” / Waste: Runaway consumption and inefficient prompt designs without clear business alignment.\tBudget Surprises: Inability to forecast monthly AI Unit allotments accurately.\tSiloed Innovation: Missing out on powerful custom agents and automations developed by individual teams. To bridge this governance gap, Box introduced th
Hey all - the Box Customer Success team is fortunate to spend time talking with customers across all industries and company sizes, so we again want to share some of the most common themes we're hearing, along with guidance and resources to help you get the most out of Box: What we're hearing: Security and compliance are top of mind, especially for customers in financial services, legal, healthcare, and government contracting. Box Shield, Shield Pro, and Governance are the most common areas of focus for our customers (after Box AI!) For End Users: Understanding how your organization classifies and protects content helps you work more securely. If you see a classification label on a file, it means your admin has applied a security policy to it. For Box Admins: Shield and Governance give you powerful tools to classify content, detect threats, enforce access policies, and meet compliance requirements (like FINRA, eDiscovery, retention, legal holds). You can learn more about these at the re
That question came up during our recent community roundtable - and it gets to the heart of responsible AI adoption. AI agents can do more than retrieve information. Depending on how they are configured, they may read, summarize, create, move, share, or delete content and trigger actions in other systems. That combination of data access and autonomy creates a new governance challenge: organizations must control not only who can access content, but also what an agent is allowed to do with it. A practical starting point is to establish five principles. 1. Start with data governance, not the AI toolBefore enabling an agent, understand the data it may access what's sensitive, regulated, or subject to legal hold, and who owns it. Then ask:Are permissions current and appropriately scoped?\tIs content classified consistently?\tAre there outdated, duplicated, or overshared files an agent could surface? An AI agent can amplify existing permission and classification problems. If employees already h
Hey everyone,Known Folder Redirection is one of the most-requested features we've shipped for Box Drive on Windows, and getting it deployed via Intune has a few non-obvious steps. Here's a guide that walks through the full setup — happy to answer questions in the comments. Overview Known Folder Redirection (KFR) allows Windows users to automatically redirect well-known local folders — such as Desktop, Documents, Pictures, and Downloads — to a location inside Box Drive. Once redirected, files saved to these folders are automatically synced to Box, giving users access across any device, ensuring content security, and simplifying device migrations.Important: Known Folder Redirection (KFR) is supported only on the new version of Box Drive built on the new architecture. The legacy version of Box Drive on Windows does not support folder redirection. See the Prerequisites section before proceeding. Prerequisites 1. Box Drive Version RequirementKnown Folder Redirection (KFR) requires the new v
