So, what is Metadata?

Metadata is just information about other data, or in the case of Box, additional data about a file.

What are example use cases?

There are likely many different use cases for metadata within your organization, spanning from vendor contract management to accounts payable to creative services libraries, working with digital assets, images, and videos. For example, your marketing team may be sourcing and managing digital assets for events and campaigns. How do they find all the assets available? How do they know which assets have been submitted from external sources?

How does Box Metadata help?

Box metadata can help your creative services folks manage, collaborate, and govern important digital assets. You can capture metadata when your external photographer or partner agency submits digital assets via Box File Request. Use metadata templates to quickly find files in your digital asset library and track important asset information such as seasonality, process status, and image down selection. How do your marketing teams find and manage their digital assets today? Are your partners and suppliers sending you assets via email and you aren't sure if there's a better way?

Are you a Box Partner or Enterprise Architect?

Box metadata can really help you add context to Box's unstructured data and connect it to other applications or parts of your ecosystem where files need to move between people. Do you have a CRM (like Salesforce) or ERP (like SAP) where you're storing client documents, vendor contracts, and financial invoices? Are you using valuable resources to understand those files and complete manual data entry?

Already using metadata with Box? We'd love to hear more about how you take advantage of all that added context today. Drop us a comment!

We typically recommend that the admin team of Box (within an enterprise) grants metadata template access to one or more content leads within a LOB. Meaning the person who knows the content and its processes should own the metadata templates in partnership with the box admin team.

For example, at one marketing/brand client, IT provided co-admin access for just metadata templates within the creative services dept. The creative team creates and maintains those templates and is responsible for the process of getting end users to use them.

Love this! I have a customer that is experiencing challenges with locating various assets within their environment because naming conventions aren't always reliable and there is a lot of content that they own as well as collaborate on. We are helping them with utilizing metadata templates to improve the user experience with locating assets and reduce time spent searching.
