Last access data on all our files and folders

Hello!

We’re starting a clean-up exercise on our content, and we’d like to categorize content depending on last access date (content not accessed in last 12 months, 24 months, 5 years).

The Files and Folders report includes last modified date but not last access date. Would there be a script we could use to generate the data we need or even better a way to get that through reports? We have 400 TB of content / 120 million files in case that has any bearing on the recommended option.

While we do not have a specific field for “last access date”, you could run a User Activity Report for File Management > Content Access entries. This should include timestamps in the report.

 

Further context, the "last modified" field is essentially a catch-all for any updates. This field is updated every time a user's content is updated and/or accessed by collaborators, etc. This would also help with categorizing contents.

 

In addition, you may want to vote this feature request: Checking last accessed date and user on folders. Your ideas and feedbacks will be evaluated by our Product Team and will definitely help shape the future of Box. 💙

Many thanks for your reply! I did consider connecting a user activity report with Content access to a Files and Folders report. My issue that that it’s a lot of content, about 100 spreadsheets for each, which makes it fairly impractical to work with. We might need to import this into Power BI, connect both sets of data, and then re-export what we need, which is doable but not ideal. I’ll go ahead and vote for the feature.

Hello ​@Vincent Trousseau! I understand the challenge with handling such a large volume of content especially you deal with around 120M and hundred of spreadsheets. Power BI could definitely help streamline the process, even if it's not the most ideal solution.
