Shared Link with Internal User

If I create a shared link and invite an internal (member of my company) user who is not already a collaborator in the folder/file, the internal user becomes a permanent collaborator. When I remove (or expire) the shared link, they remain as a collaborator.

I thought there was supposed to be a distinction between shared links and inviting collaborators? This really seems to muddy the waters - I go to create a shared link and end up inviting collaborators instead. I cannot set an expiration for internal user access?

This scenario can happen if the following settings is enabled under the "Settings" of the folder you are sharing (or the folder location where the file you are sharing is)

  • Allow anyone who can access this folder from a shared link to join as a collaborator - If this box is checked, users who follow a shared link to this folder will be prompted to join as collaborators. You can select the access level that these users will be granted below.

You may need to disable this option to prevent others accessing this link from joining as collaborators.

Hi France,

Thanks for the response. That option is already disabled in our enterprise, so that's definitely not the issue.

To be more clear, in folder settings that option is grayed out, and when mousing over it a tooltip appears that says, "Sharing in this folder is restricted to collaborators only."

Thanks for the additional information you shared.

Its likely that the user was already a collaborator in this content you shared and may have been added by someone else in your organization which is totally possible as he is an internal user.

I would suggest reaching out to your Box Admin so they can run a report on collaborations to determine who invited this user in this content.
