When sending a document out for team review, is there any way to ensure the document 1) opens in review only, and 2) stays in review only?

I ask because we like to track all changes made to a document. However, when a document is sent out for review, some reviewers have the document open in "edit" mode, which prevents tracking of any changes.

How do we ensure that all updates made by reviewers are tracked and that none of the reviewers edit the document without being in track change?

Hi Daniel,

Welcome to the Box Community, I'm happy to help!

You can use "Shared links" if you need to share documents to others for reviews instead of inviting users as "Collaborators".

A shared link is a unique URL that gives the recipient to access a specific file or folder. With customizable permission levels, security settings, and a URL that’s easy to copy and paste, shared links can be used to send important content both internally and externally. Unlike collaboration, individuals accessing your content through a shared link get "read-only" access and won’t be able to make changes to your files.

We recommend that you only use collaboration if you are actively working with others on long-term projects. Collaboration provides a two-way relationship; depending on their access level, collaborators can view, edit, upload/download documents, leverage collaboration tools (comments, tasks, and so on.), and receive updates on actions taking place in the folder. Also, they must have a Box account to collaborate on content in Box. If you send a collaboration invitation to an individual without a Box account, that individual will be prompted to sign up with Box before being able to access the content.

Thanks for reaching out and stay safe!

Best Regards,

Thanks France,

My question was not about shared links, or collaborator vs viewer. I am more concerned with how the document opens in WORD ONLINE. Sometimes it opens with "editing" enabled and other times it opens with "reviewing" enabled. Is there a way to ensure the document opens with "reviewing" enabled and to ensure that it is locked in the "reviewing" mode? By doing so, any changes will be tracked and there is no instances where a change is made but not tracked.
