Hello,


 


Several of our Organization folders show they were updated "yesterday by Box System (1)" and appear to be missing lots of files.


What does it mean when "Box System (1)" updates a folder? And where are our files?!

“Box system” refers to any changes made by our system through automation set by the user or an automation from your Box Enterprise settings. There is no unidentified or external user taking actions to update your content.


Activities may refer to the following :

  • Automated Actions set from the folder settings itself.
    • Auto delete the folder.
    • Auto unshare.
  • Shared link expiration set by user on a file within the folder.
  • Auto expiration/auto deletion set by a user on a file.


The best course of action would be to take a look at a User Activity Report. Account Admin or Co-admins can run this report.

  1. Go to Admin Console > ReportsCreate Report
  2. Select Users tab > User Activity
  3. Kindly leave Users or Groups (optional) blank and place the folder in question under Affected Folders and Files.
  4. Set the date range you wish the report to cover.
  5. On Action types, you may select all filters for File Management; or click the following:
    • Collaborations - put a check mark on Collaboration expired 
    • File management - put a check mark on Move to trash set file auto-delete
    • Shared links - put a check mark on Set shared link expiration Disabled shared link
  6. Click Run & Export.


Once the report is generated, you can review the affected files and folders. If you need further assistance, please submit a ticket to Product Support and attach the report.
