Hello!

 

We are a company of 10+ users. We want to limit our users since not everyone needs to be on Box.

 

Question, once a user is not an active license, can they still login and see all folders? Or will they go to a standard account? 

 

Second question, if I am a licensed user for the company and my Admin decides to revoke my license, will I lose all access to my folders even the personal ones I crated until I can have access again or will this drop to me to a standard account?

For question #1:

  • If the users are deleted, that’s the time they will no longer be able to log in to the same account or access any folders. Their account will not be converted to a standard or personal account, but they can sign up again as a new user if needed.
  • If certain users only need limited access (e.g., view/download-only), the content owner can create shared links. Users do not need a Box account to access files or folders via shared links.

For question #2:

  • Box Admins manage the entire enterprise, including users and content. If you're a licensed user (also known as a managed user), you will lose access to all folders and personal content once your account is deleted. However, admins have the option to delete a managed user and transfer their content to another user within the enterprise.
  • As with question #1, once your account is deleted, it won’t be downgraded to a standard or personal account. Therefore, it's important to download any necessary files—especially personal content—before deletion to avoid data loss.


📝 Note:

  • If the ‘entire’ enterprise is being downgraded to personal, existing users may be moved to a Free Individual plan, which is a different process.
  • Deleting users from an account does not affect billing—it only frees up licenses so admins can add new users. To reduce the total number of seats based on your needs, the account admin must contact our Cancellations Team at cancel@box.com to request adjustments.

Welcome to Box Community! Just to add, setting your Box account to inactive basically freezes your account. You won’t get to login to your Box account and access your Box contents until your Admin decides to activate it. 

Meanwhile, if your Box Admin decides to revoke your license, your Box Admin will have to delete your account entirely.
