Can not update because other user, save copy?

There are files I only use. XLSX. I have 365 on pc and iphone. Although PC is closed. I still get freuently taht when i try to load a file on my phone the message: can not update file because of other user, do you want to save a copy?

 Question: 1: why? 2: what do do?
