Adding Users with Unassigned Seats If you have unassigned seats in your Box account, you can easily allocate them by clicking 'Add Users' in the top navigation bar or on the Users & Groups page. Your unassigned seats will automatically be assigned to these new users. You will only be charged if you have no unassigned seats remaining and must purchase additional seats to complete the action.

Note: From October 2025 to May 2026, a temporary data lag issue caused the system to display a pending charge immediately after a seat purchase, even if unassigned seats were available. This display issue has been fully resolved, and customers were not overcharged. If you have unassigned seats, you will no longer see a charge when using the 'Add Users' flow.

Purchasing Additional Seats If you want to purchase more seats (regardless of whether you have unassigned seats available), you can do so at any time by:

  • Selecting 'Add Seats' from the Account dropdown menu in the top-right corner.
  • Clicking 'Buy More Seats' on the Users & Groups page.

You have used up 2 out of your 3 available seats, and if you are prompted to pay for another seat we suggest on reaching out to our Billing team by emailing billing@box.com.

It’s June 2 and our Enterprise account is still having this issue.  Only 1 of 3 seats have been used and we are being asked to pay for a seat when an invitation is created.  Please advise.

@BoxVO just checking, did you go to add users flow, NOT the add or buy seats flow 2) if you use the add users flow did it show a charge after?

If you check now does that still show, if so can you share a screenshot?

thanks

I am also having this issue.
I purchased 2 additional seats for new employees, bringing our org from 6 to 8 seats. I was informed of the cost, which is prorated since we have already begun the month/billing cycle.
I am now unable to figure out how to assign them. When I use the “Add Users” button, I am prompted to pay for 2 additional seats, and it says my new total number of seats will be 10.

I can’t find anywhere to manage and assign the empty seats.

Hello! I just signed up and I am also having this issue.
I have tried “Add users” through the Users and Groups tab. I have also tried it through the users section on the Home tab.

Hi, I also just signed up with 9 seats. Billing page in Admin console shows 1 of 9 seats used. Insight page shows 0 seats available. When I go to add a user it prompts for a purchase of a 10th seat.

Dear Community Members,

Thank you for taking the time to report this issue. We currently have a related discussion on this topic:

To clarify, as long as there are available seats on your account, you can continue adding managed users via Add Users flow without incurring any additional charges.

We appreciate your patience.
