現在、businessプランのライセンス3で契約をしています。

しかし、管理画面を見ると、14/3ライセンスを消費しているとの記載がありました。

現在Boxに登録されているアカウントのうち、4つは管理下ユーザー、9つは外部ユーザーです。

これはどのような状態なのでしょうか。

また、どのアカウントが本来のライセンスを使用しているのか、確認はできないのでしょうか。

For Starter or Business accounts, each collaborator would require a license to maintain the two-way relationship. A collaborator is an individual who has been invited to a file or folder.


These plans do not include the unlimited collaboration feature. Both managed users and external collaborators count toward your purchased license total. If the number of users exceeds your license count, it results in a user overage (e.g., 14 users on a 3-seat plan). Licenses are not assigned to specific users; instead, usage is calculated based on the total number of users on an account.

To stay compliant and resolve the overage, please consider the following options:

  • If you no longer need to collaborate with certain individuals, you can Remove Collaborators and instead use the Shared Links feature.
    Unlike collaboration, individuals accessing your content through a shared link get “read-only” access and won’t be able to make changes to your files.

  • You can delete managed user/s and keep your license count to the minimum of 3.

  • If you need to collaborate heavily with external users, consider upgrading to the Business Plus plan, which includes unlimited collaboration. You can upgrade your account by following these instructions.

  • You may purchase additional licenses to address the overage. Instructions can be found here.

①今回、ライセンス数が3に対し、14ユーザーが登録できている理由は何ですか?

②「ユーザー超過が発生します(例:3シートプランで14ユーザー)。ライセンスは特定のユーザーに割り当てられません。」とはどういう意味でしょうか?

ユーザー超過が起こった時点で、どのアカウントも一度businessプランの機能が使えなくなるという意味でしょうか。

③ユーザー超過をこのまま放置した場合、弊社に何か不利益は起こりますか。

Dear ​@MMM, I appreciate your response. I’d be glad to address your other inquiries:

  1. Why are 14 users registered for 3 licenses?

    👉 Your external collaborators (those invited to a shared file/folder) are included in the total of 14 users. As discussed above, the Starter and Business plans require a license for each collaborator. For these plans, both internal (managed) users and external collaborators count toward your total user count. Since you have a total of 14 users but only 3 purchased seats, this results in a seat overage.
  1. What does it mean that "User overage will occur (e.g. 14 users for 3 seats). Licenses cannot be assigned to specific users"?

    👉 Overage occurs when the number of users on your account exceeds the number of purchased licenses. We do not literally assign specific users to seats; instead, we determine usage based on the total number of users added/invited to the account. This is why it’s important to purchase a license for each user account to remain in compliance.

    Does this mean that when the user overage occurs, all accounts will be unable to use the business plan features?

    👉 Users can still utilize Box services based on their account type.
     
  2. If we leave the user overage as it is, will there be any disadvantages to our company?

    👉 While we don’t charge for overages immediately—allowing customers time to correct them—we do expect accounts to be managed appropriately and to comply with our terms.


    Regarding the actions Box may take, please refer to our Box Terms of Service under 23. BOX SUBSCRIPTION SPECIFIC TERMS and 23.1 Excess Users:

If your organization has more users than purchased accounts, Box may place reasonable restrictions on your account until you adequately address your Excess Users (such as restricting or limiting your organization’s ability to deploy additional accounts).


Box may, at any time at its discretion, provide your organization’s then-current billing contact with a notice identifying your organization’s users in excess of the number of purchased account licenses (such overage, “Excess Users”). Twenty-one (21) days after sending such report, Box will bill the then-current payment method on file for account licenses for any Excess Users which have not yet been permanently deleted.


To manage your account and resolve the overage, please refer to my previous message. This includes helpful links such as removing collaborators and using shared links, deleting managed users, adding seats, and so on.
