Section 1 - How AI can impact your business

Summary of topic Recording clip here

  • Latest Trends in AI Innovation: Rapid developments in AI tools, models, and use cases. According to Harvard Business Review, AI has the potential to automate 40% of daily work tasks.

  • AI for Efficiency: Leveraging AI to unlock business insights, enhance customer experiences, and increase revenue.

Section 2 - Governance: Ensuring Responsible AI Implementation

AI adoption requires safeguards to ensure ethical and secure use. Andrew shared guidance on governance policies, focusing on Box’s principles for responsible AI. Recording clip here

  1. Customer Control“Customers can fully manage their content permissions and choose to enable or disable Box AI for their preferences.”

  2. Security and Privacy: Box ensures strong measures like encryption and access control to protect sensitive content from breaches.

  3. Transparency: Box AI does not train on customer data and employs stringent auditing procedures to monitor AI queries responsibly.

Internal teams from legal, engineering, compliance, and security manage policies that align with regulatory requirements and customer expectations. These governance frameworks empower users to trust AI-driven solutions while safeguarding sensitive data like HIPAA-compliant and externally restricted information.

  • Start Small: Identify achievable wins to build confidence in AI tools.

  • Understand the Tools: Research features and limitations carefully to optimize deployment.

  • Develop Governance Policies: Ensure responsible adoption by mapping strategy, complying with laws, and managing risks effectively.

As AI adoption accelerates, involving employees in change management processes and showcasing success stories will pave the way for smoother transitions.

Custom AI Agents: “With Box Studio, you can build and test custom AI agents in Box by choosing the model, setting instructions and tasks for the agent, and deciding where to deploy these agents.”

Customer dialog and feedback highlights.

Customers such as Tom Saal and @Matt Hoey discussed granular access control as a key requirement. For example, the ability to restrict certain 3rd party data from AI (based on 3rd party request) or restrict certain folders or files from AI. Some organizations such as @Evy at University of Arizona require trainings before employees get access to sensitive content in Box for HIPPA, for example

“It is important for us to be able to exclude certain files or folders from having Box AI applied. Some content has rules from external sources that specifically forbid AI applied in any way with their files however, we need to keep Box AI enabled for all within our org.” @Matt Hoey

“We work with sensitive data, so I'm concerned about the sharing or breach of the data” added Mary Beth O’Brien

“Do you have a group of users that do not have Box AI enabled? If so, can you explain how you went through that process to identify who to 'exempt' and how to go forward with that implementation?” asked @Evy

“We have a number of hubs but haven't started using agents with the hubs yet” Tom Saal

@Matt Hoey is looking to upcoming features and talked about his innovative use of Box Hubs for IT and HR, meeting minutes, and company wide projects. Matt is also using Box AI and Multi doc query and Box Apps,  and beginning to experiment with agents around architecture workflows, creating a travel co-ordinator agent, use of AI and Metadata extraction for Vendor Management, and moving forms based workflows from Microsoft to Box Forms.

“I'm looking forward to metadata extraction and documentation generation. I can't wait to use AI Studio to create agents, but I'm not sure if that's on the roadmap just yet. I do think those features sound very powerful” added @Evy
