Simplifying Data Collection and Automation
Scott highlighted how Box Forms enables organizations to collect critical user data (e.g., accident images and forms), which is then automatically applied as metadata to uploaded files. Customized form builder supports brand experiences. Metadata can be added to an image uploaded from a form to kickoff an automated workflow with Box Relay.
Data structuring through metadata is pivotal for transitioning unstructured data—which constitutes 90% of organizational data—into actionable insights. Box AI Extract Agents allow firms to extract critical information from documents and images in seconds instead of hours, addressing a major bottleneck in document review and summarization.
Document Automation and Box Doc Gen
Box Doc Gen, is tailored to firms needing high-volume and dynamic document generation. The tool allows legal teams to populate fields from metadata and craft customized documents, especially leveraging API integrations for enhanced workflows. For example, law firms can dynamically generate engagement letters or confidentiality agreements directly from Salesforce while integrating with Box DB—a significant upgrade over costly third-party vendors like Conga.
End-to-End Integration: Box and Salesforce
One of Box’s strengths is its integration with Salesforce, enabling law firms to create seamless document workflows. For example, Box Doc Gen and Box Sign can handle client onboarding, engagement contracts, and associated deposits—all in real-time. These workflows replace manual processes that used to take days or weeks with efficient, secure solutions completed in minutes. The end-to-end workflow—from negotiation to invoice generation—delivers time savings while enhancing client satisfaction.
Box Apps allows no code content workflows to be built in Box using metadata.
Estrella LLC overview and demo
Alberto Estrella, Managing Principal of Estrella, LLC then gave an overview of his Box implementation. Recording clip here
Estrella, LLC is in the top ten largest law firms in Puerto Rico.
Automating the client intake process
“We have always tried to identify and remove pain points for our employees and clients”
Estrella started with the client intake process, and making the client signup process more seamless. Historically, manual processes for signing engagement agreements, scanning documents, and receiving deposits caused significant delays, sometimes stretching over a week. With Box and Salesforce integrations, these workflows are now fully automated. Estrella emphasized the simplicity of initiating processes, like generating engagement letters or automating approvals, which are now completed with real-time notifications and client participation. Customized templates create a new folder in Salesforce for each different matter type.
Scott Picanco, highlighted how Estrella is focussed on use cases, rather than seeking point solutions and is impressed with how Estrella has extended their use of Box.
For example, Estrella uses Box Sign for agreements, avoiding third-party apps like DocuSign. This transition reduced vendor costs while ensuring security and centralized data management. Furthermore, respondents can complete payment processes instantly via Stripe integrations, enabling service commencement almost immediately after onboarding.Alberto uses Box File request to allow clients to share documents.
“So this is all automated and , you know , no human intervention required . And it's really been , to be quite honest , really quite transformational” said Alberto.
AI-Powered Legal Document Summarization
A particularly innovative use case was described by Estrella, who demonstrated an AI agent built for summarizing legal complaints, “new lawsuit summarizing agent” These agents create concise, bilingual summaries of critical data points (e.g., jurisdiction, title, case number, parties involved) based on prebuilt prompts tailored to the law firm’s needs. Estrella highlighted that this tool improves efficiency significantly, allowing legal professionals to focus on high-value tasks rather than data entry. Importantly, he advised reviewing AI-generated summaries before use to ensure legal accuracy. Estrella would like all matters to be stored in their own Box Hub to facilitate even better client interaction.
Estrella also revealed plans to leverage Box apps for internal vendor management, further consolidating tools used within his firm. This emphasis on cross-platform functionality—supported by Box’s over 1,500 prebuilt integrations and open APIs—demonstrates the extensibility of Box for varied legal use cases.
