Leveraging AI and Box: Insights from the Small Business Community Roundtable
The discussion kicked off with an overview of how metadata can transform unstructured data to drive business value and covered the following themes:
Streamlining Compensation Forms – Judge Group
Matthew Campana explained how automating HR compensation workflows via metadata using ServiceNow and Box transformed processes. The Judge group are automating client onboarding across dozens of data fields and using Box Forms, Relay and DocGen to build a fully automated workflow. “Anything happening in email and on paper is now going through Box Relay and workflows”
“Previously, our HR department would download, fill out, and upload compensation forms manually. With metadata, we have it right then and there. It opens up the doors for efficiency.”
Contract Metadata Extraction – ABI
Karim Guirguis illustrated how his organization successfully digitized and automated contract metadata extraction for conference planning. ABI run 40 to 45 conferences annually.ABI first used Box AI for content repurposing, for marketing conferences. This was quickly followed by using AI and Metadata for contract management with these hotels and using Box Apps to view hotel status across all conferences. ABI are also using Box Forms for RFPs for hotels: “Now we have intelligence to be able to ask questions about contracts that are upcoming for conferences without having to dig through anything.”
Driving ROI and Efficiency with Dynamic AI Agents:
ABI built a hotel contract negotiation agent to negotiate with over 40 hotels, successfully negotiating 92% of contracts. “And so far we've been able to win almost 92% of all our contracts where all the concessions that we've asked for have come our way”
Judge group built a contract review agent using metadata extraction with outstanding results “...and we went from six hours on the largest MSA that we have down to thirty nine seconds , and that is a 300 page document . And I will tell you that we had a 93 accuracy on that...”

Panelists shared actionable advice for organizations looking to adopt AI effectively:

Start Small: Matthew Campana emphasized the importance of targeted pilots, starting with a simple use case, demonstrating success and then expanding.
“Start small to gain a big impact… Whether it’s checking hotel bookings before conferences or standardizing contract processes, pick tasks that yield visible and high-value outcomes.”

Leverage Accessible Tools: Karim recommended using Box AI Studio for iterative prompt refinement and leveraging tools that can scale:
“Find the tools you do have access to. Copilot Studio Gemini is free, right? That’s the beauty of Box.”
“Sometimes the older models are better, and you can access these from within Box”

Involve Stakeholders Early: Bring all relevant teams to the table to ensure alignment. Kareem shared:
“The number one thing you can do to save a lot of heartache is get the right folks in the room to answer how the process works.”

Ensure Human Oversight: The COO of ABI reminded attendees that while AI is a powerful tool, human judgment remains critical: - “We’re not replacing expertise, we’re just amplifying it.”

Fostering Organizational Acceptance
The panel acknowledged that AI can evoke caution among employees worried about job displacement. Speakers urged a reframing, positioning AI as a tool to remove repetitive tasks—freeing up professionals to focus on meaningful work. Panelists also highlighted the cultural shift involved in AI adoption:
“Start meetings by showing people how AI can assist with tasks,” suggested Karim. The visibility and simplicity of these demonstrations help remove fear, foster curiosity, and drive innovation from the bottom up.
