When using the manual start for a workflow not all workflows are available in the screen. Can you help with this?

👋 Hi @Elaine Cox, welcome to the Box Community! I’d be glad to assist.

The Manual Start picker only shows workflows that are eligible for the specific item and user context. A workflow may not appear if any of the below are not met:

  • Manual Start is configured and the workflow is Active
    • Draft/Stopped workflows don’t appear in the “Start a workflow” picker.
  • Item context and scope must match
    • Manual Start is initiated from a file (not a folder). Starting from a folder won’t list file‑based Manual Start workflows.
    • Workflows are tied to a specific folder/scope; only those targeting the current item/path are listed. (Older behavior is folder‑scoped; “cascading” options expand scope, if enabled.)
  • User permissions on the item
    • The starter must have sufficient access on the file/folder (typically Owner/Co‑owner/Editor) to run the workflow.
    • Admins can restrict Relay building/usage to owners/co‑owners only; if set that way, editors may not see workflows to start on that folder.
  • Enterprise/folder ownership constraints
    • Items in externally owned folders (different enterprise) may not be eligible for Relay; those workflows won’t appear for those items.
  • Known picker/selection limits
    • Manual Start has exceptions such as selecting more than 20 files at once.

To quick check your workflow:

  • Are you starting from a file (not a folder)?
  • Is the workflow set to Manual Start and Active?
  • Do you have at least Editor access on the item?
  • Is the item in your enterprise (not an externally owned folder)?
  • Are you selecting ≤20 files?
