Managing and Organizing Shared Folders

We are currently reviewing how we organize folders in Box and have encountered a challenge with shared folders.
In one case, a user has a large number of folders (over 180) in their root directory, most of which were shared by other users. This makes navigation and organization difficult.
Is it possible to group or consolidate shared folders into a single view or under a parent folder in the root directory?

This is a very common challenge in Box environments, especially in organizations where collaboration is widespread. Here is a comprehensive breakdown of what is (and isn’t) possible, along with the recommended approaches.


⚠️ Key limitation: you cannot move shared folders into a parent folder


Box does not allow a user to physically move or nest folders that were shared with them (i.e., folders owned by other users) under a parent folder in their own root directory. When another user shares a folder with you, it appears directly in your All Files page as a top-level item; you cannot reorganize it into a subfolder you own, because you don’t own it.

As noted in Plan Your Folder Structure: “Every user’s Files page will look different depending on the folders they’ve created and/or the folders they’ve been invited into.”

 

✅ Recommended solutions


1. Box Collections (best option for End Users)

Collections are the primary Box feature designed to solve exactly this problem. They allow users to create personal, private groupings of folders and files — including shared ones — for easier navigation.


Key facts from Collections FAQ and Getting Started: Box User Basics:

  • ✅ You can add shared folders (ones you’ve been collaborated into) to a Collection
  • ✅ Collections are private — visible only to you, not to other collaborators
  • ✅ Collections appear in the left sidebar under My Collections
  • ✅ You can create and name multiple Collections (e.g., “HR Shared Folders,” “Project Folders”)
  • ❌ Collections are flat — you cannot nest items within a Collection
  • ❌ You cannot create new files/folders directly within a Collection
  • ❌ You cannot add a folder you can only access via a shared link (must be a direct collaborator)


📚 How to create a Collection:

In the left sidebar, beside My Collections, click + to create a new collection, then add the relevant shared folders to it.


This is the recommended approach for users who have many shared folders cluttering their All Files page.


2. Reduce root-level folder sprawl via Admin action (Closed Folder Taxonomy)

For a more structural, organization-wide fix, admins can implement a Closed Folder Taxonomy:

  • Admins create and own all root-level folders
  • Users are invited into department or team folders rather than having individual folders shared directly
  • This is enabled via: Admin Console → Enterprise Settings → Content & Sharing → Content Creation → Restrict Content Creation
  • This greatly reduces folder sprawl and adds structure to content

This approach requires more upfront planning but is the most scalable solution for large organizations.

 

3. Invite users into higher-level department/team folders

Instead of sharing many individual folders with a user, share a single parent folder at the department or team level, and use Box’s waterfall permissions to grant access to all subfolders beneath it. This way, the user only sees one folder in their root directory instead of many.
