Transferring an in-use license

There are four licenses in use. One user has actually left the company and deleted them, so I think there are three licenses left. I would like to bring in another user and transfer the licenses. Is this possible? If not, would it be possible to resolve this by releasing one license and adding a new one?

I can see that all 4 of your licenses are currently in use. To clarify the process, if a user has left your firm and should no longer have access to your Box account, you can delete that managed user. Doing so will automatically free up the license, allowing you to add a new managed user without needing to purchase an additional seat.


Please note that removing users only frees up licenses; it does not affect your billing subscription. For more details, you can check out the topic on:

If I add a new user after deleting a user who has left the company, will that user automatically be granted a license? If I need to grant a license manually, how can I do that?

Hello ​@shuhei murakami, I appreciate your response. Let me clarify and provide more insights into how adding users works.

 

When you have available licenses (or seats), you can add a new user, and that user will automatically occupy one of the licenses. Licenses are not manually assigned. Rather, you must purchase seats in accordance with the number of users you plan to manage.


Please refer to the example and reminders below for more information:

  • If you purchase a Business plan with 4 licenses, you can have up to 4 users in your Box account.
    🔔 Note: 1 seat is automatically assigned to the primary admin.
     

  • If you are currently using 3 out of 4 licenses, you can still add one more managed user. This will bring the total to 4, matching the number of seats, and grant the user access to your Box account.
     

  • You can delete and add users anytime based on your organization’s needs, and this will not affect your plan or the number of seats. If you need to add more managed users beyond your current license count, you must purchase extra licenses first to prevent overages.
    🔔 Be sure your account stays compliant by ensuring the number of paid licenses matches the number of users, preventing overages.
