Transfer Users to another Group

We recently reorganized our organizational structure and now need to update our Box accounts to reflect that change. 

How do I move members from one group to another without deleting them first? 

Is there a way to do a bulk transfer?

Yes, you do not need to delete users to move them from one Box group to another.

  • In the Admin Console, you can edit a managed user’s group memberships directly. An admin can open a user, go to the Groups section, click Edit, then add the user to additional groups or remove them from existing groups.
  • You can also change the user’s access level within the group if needed.

How to move a user from one group to another

  1. Go to Admin Console > Users & Groups.
  2. Open the managed user.
  3. In the Groups section, click Edit.
  4. Click Select Groups and add the destination group.
  5. Remove the user from the old group.
  6. Save the changes.

This updates membership without deleting the user account.


Bulk transfer option

Yes, there is a bulk method. The Admin Console Bulk Edit feature lets you download a spreadsheet of managed users, edit it, and upload it back. One of the supported bulk-editable fields is Group membership.

Bulk steps

  1. Go to Admin Console > Users & Groups > Managed Users.
  2. Click Bulk Edit.
  3. Download Current Users.
  4. Update the Group membership values in the spreadsheet.
  5. Upload the edited spreadsheet.
