👋 Hi @Dianeshughes, welcome to the Box Community! I’d be glad to assist.

When an owner or employee leaves your firm but remains the “Owner” of Box files and folders, a Box Administrator or Co-administrator (with appropriate content management privileges) can resolve this and transfer ownership using the following methods:

  1. Using the Content Manager (recommended for active users)
If the departed user’s account is still active, you can browse and manage their files directly from the Admin Console without logging into their account:
    1. Log in to the Box Admin Console.
    2. Navigate to Content > Content Manager.
    3. Search for and select the departed franchise owner’s name to view their folder structure.
    4. Locate the folders they own. Right-click the folder (or click the More Options ellipsis) and select Manage Collaborators (or Invite Collaborators).
    5. Find the user you want to make the new owner (who must already be collaborated on the folder).
    6. Click their current permission level and change it to Owner.
    7. Confirm the transfer when prompted. Note that if the folder is large (contains 50+ files) or has active retention policies, you cannot transfer ownership to an external user.
  1. During user deprovisioning / deletion (recommended for terminated users)
If you are ready to completely delete or deprovision the departed user’s Box account, Box provides a built-in workflow to transfer all of their owned content to another user:
    1. Go to Admin Console > Users and Groups and select the Managed Users tab.
    2. Click on the departed user’s name.
    3. Scroll down and click Delete this User.
    4. Box will automatically present you with the option to transfer any content the user owns to another user (such as yourself, a generic service account, or the new franchise owner) or delete it entirely.
    5. Select the destination user and confirm. Box will safely migrate the entire folder structure and assign the new owner.
