Our company is currently utilizing Box under a monthly subscription and is in the trial phase of implementing the service. We have been in the process of migrating data, and to further validate data migration and other aspects, we are considering upgrading to a higher-tier plan and increasing the number of users.

We have a campaign currently applied to our Business organization, which offers a significant discount. We would like to explore the possibility of leveraging this campaign period for our validation purposes.

In this context, we have the following questions:

License Cancellation and Plan Downgrade

Is it possible to temporarily increase the number of licenses or upgrade to a higher-tier plan during the campaign period for testing, and subsequently decrease the number of licenses or downgrade the plan to an appropriate level after understanding our actual use cases?

Estimated Processing Time

If license cancellation or plan downgrade is possible, what is the estimated turnaround time (in business days) for such requests to be processed?

Downgrade during Campaign and Additional Charges

If we upgrade our plan during the campaign period and later decide to downgrade within the same campaign period, will there be any additional charges incurred due to the downgrade, considering the significant discount we are currently receiving?

Regarding your inquiry on your plan and license changes during the campaign period, please refer to the answers below:
 

1. License Cancellation and Plan Downgrade

You can absolutely upgrade your plan and purchase additional seats at any time. Feel free to check our pricing page for an overview and a side-by-side comparison to help you choose the plan that best fits your business needs.

📝 Reminder: A prorated charge will apply based on your new term when upgrading or adding seats. You can view the charge once the invoice is generated after the upgrade. For more details related to upgrades and billing, you’re welcome to contact our Billing Team at billing@box.com.

📝 Please note: This process is different from downgrading or decreasing seats, which will take effect at the end of your current term.

 

2. Estimated Processing Time

If you’re on a month-to-month subscription and your organization decides to downgrade or reduce licenses, please email our specialist at cancel@box.com at least 3 business days before your next renewal date.

Our team will evaluate and process your request in accordance with our terms. You can review the full details in our Box Terms of Service, specifically Section 22: SUBSCRIPTION PERIOD.

 

3. Downgrade During Campaign and Additional Charges

Box does not process mid-term concessions. If you decide to downgrade after evaluating the service during the campaign period, the change will take effect at the end of your current term, provided we receive your request at least 3 days before the renewal date. Otherwise, your account will auto-renew and be charged for the next term.

We handle relatively large files. If we upgrade to the Enterprise plan and upload files larger than 15GB, and then downgrade to Business Plus, would those files exceeding the 15GB limit need to be deleted?

If you are downgrading your account to another paid subscription, considering the new plan will also have unlimited storage, all of the files within your account will remain there after the downgrade has taken place.


Downgrading your account will only cause you to lose the functionality of your account that came with your subscription type including the upload limit. 😊
