Question

How to require Password Protect every time, when sharing files via URL?

Is there an admin panel setting such that every time a user:

  1. Selects a file
  2. Clicks Share Link
  3. Selects “People with the link” as their scope

the setting I desire would then enforce the Link Settings option “Password Protect - Require password” to be enabled every time?

This setting ideally would disallow org-wide from any users from ever making a URL that would make a document entirely public, while still allowing the user to make a file or folder that doesn’t require a login to open.

Alternatively, are there any other methods where a file can be sent, require a password, but not require a login for the receiving party, other than “People with the link”?

👋 Hi @jmynes, welcome to the Box Community!

Box does not currently offer a global/org-wide setting that forces all shared links to require a password by default. Password protection must be enabled individually for each shared link.

You can turn this on by hovering over the file or folder you want to share, selecting Share → Link Settings → Require Password. For more details, see Configuring Individual Shared Link Settings.

Regarding your second question, if you want recipients to access content without logging in, the only available access level is People with the link.

If this is something you’d like to see improved, I encourage you to submit it as a feature request in Box Pulse. Our Product Team continually reviews customer feedback, and your suggestion will help shape future enhancements.

It looks as though another user has made this suggestion, so I have given them a +1 vote.
