Cant register users because they are on another account

I recently went to add 3 users from our company to our new Box.com account, but those users already exist in another instance under the same email. What would be the best way to get them into our workspace as paid members and guests in the other pre-existing space?

If you receive an error indicating they already exist, it means those email addresses are currently associated with pre-existing Box accounts (either free/personal “freemium” accounts or managed accounts under another enterprise).


To achieve your goal of having them as paid managed members in your workspace while maintaining their access as guests (external collaborators) in the other pre-existing space, you should follow these steps:

  1. You must invite them to join your enterprise. This process is called “repatriation” or “converting unmanaged users”:
  • Go to Admin Console > Users & Groups, select the External Users tab, and filter by Unmanaged Users. Hover over the user’s name, click the More Options (…) button, and select Make Managed User.
  • Box will send an automated invitation to the user. Once they accept the invitation, their account—along with all of their existing content and collaborations—will be rolled into your enterprise as a paid managed user under your administrative control.

Note on pre-existing Enterprise accounts:

  • If these users are currently part of another paid Business or Enterprise account (rather than a free/personal account), they cannot be converted directly using this tool. They must first be released (deleted* or downgraded to a free account) by the administrator of their previous Box enterprise before you can add/invite them.
  • *Deleting a user account severs all of their active collaborations.
  • The primary admin of that instance can submit a ticket to our Product Support for assistance on rolling out the user. This is the best approach to preserve their account and collaboration.
     
  1. When you convert these users into managed users under your enterprise, their existing external collaborations are preserved.
  • They will automatically remain as guests (external collaborators) in the other pre-existing space, provided there are no conflicting security restrictions.
  • If your organization has External Collaboration Restrictions enabled (which limits collaborations to allowlisted domains), any external collaborations with domains not on your allowlist will be automatically removed when the users are migrated in. To prevent this, ensure that the domain of the other pre-existing space is added to your enterprise’s collaboration allowlist (Admin Console > Enterprise Settings > Content & Sharing) before they accept the invitation.
