Our US headquarters currently holds an enterprise-level Box contract and manages the global environment centrally.

We are now considering implementing Box Zones for our Japan office to enable localized data residency and establish a more independent management structure.

We would appreciate your guidance on the following points:

Questions:

What is the recommended setup process for Box Zones to ensure that content for Japan-based users (initially around 30 users, including external collaborators) is stored within Japan?

What are the additional licensing costs associated with enabling Box Zones for this scale of usage?

Is it possible to assign and manage Box Zones independently for Japan-based users via the admin console(I have admin rights)?

Can we strictly restrict access to data from outside Japan, ensuring compliance with local data residency requirements?

Could you please provide guidance or documentation on the initial setup procedures for Box Zones?

We believe that leveraging Box Zones is the optimal approach to strengthen data governance and compliance for our Japan operations, while maintaining integration with our global Box environment.

🔴 What is the recommended setup process for Box Zones to ensure that content for Japan-based users (initially around 30 users, including external collaborators) is stored within Japan?

  • First, to be eligible for Box Zones, an account must be on a Business Plus plan or higher. Box Zones is an add-on feature and must always align with the number of core licenses on your account (e.g., if you have 10 Business Plus licenses, you must purchase 10 Zones add-ons).
  • You can assign the people in your organization to any Zone your company has purchased.
  • When you assign people to a Zone, their existing files migrate over, and any new files and folders they create within their own root folder are mapped to the assigned Zone. End users can simply collaborate with ease across different Zones, while content remains stored in the designated region.
     

🔴 What are the additional licensing costs associated with enabling Box Zones for this scale of usage?

  • Costs depends on the plan, add-ons, total number of licenses, and billing frequency (monthly or annual if applicable).

  • While Zones lets you store your data in a specific region or country, it does not strictly restrict access from outside the region.
  • If this helps, you can consider Box Shield where you can configure Suspicious Location Rule Settings to prevent users from utilizing Box outside certain countries. This is something you can also discuss with our Sales Team.
