Allow Users to Create Company Branded File

We want to give our users a means of clicking a button (relay/workflow?) or adding custom documents to the “New” Menu where they can click a button and essentially get a copy of a company branded document. We want to use this so users can say, “hey, I need a document labeled at Internal/Proprietary”… without them having to reinvent the wheel everytime. 

In SharePoint you would create a custom template and add it to the “New” menu in there. 

 

I have yet to find an effective way to do this in box.

While Box doesn't have a direct equivalent to SharePoint's "New" menu for custom document templates, there are several powerful options to give your users a quick, consistent way to create branded, pre-labeled documents.


Option 1: Box Notes Custom Templates


If your branded documents are Box Notes (meeting notes, SOPs, internal memos, etc.), this is the most native experience.


How it works:

  1. Create a Box Note with your company branding, standard content, and classification labels (e.g., "Internal/Proprietary").
  2. Open the More Options (…) menu and select "Set this as a Template."
  3. Store the template in a dedicated folder and add your users as collaborators.
  4. Users can then go to New → Box Note from Template in any folder and select your branded template from the Custom tab — a pre-populated copy is instantly created.

Option 2: Box Relay — Manual Start Workflow (Button-Triggered Copy)


If you need users to get a copy of a branded Word, PDF, or other document with a simple click, a Box Relay Manual Start workflow is the way to go.


How it works:

  1. Store your master branded document (e.g., "Internal-Proprietary Template.docx") in a designated folder.
  2. Build a Manual Start workflow in Relay that copies the file to a target folder, optionally renames it, and applies a metadata tag (e.g., "Internal/Proprietary").
  3. Users trigger the workflow from the More Actions (…) menu on the file or folder.

Option 3: Box Doc Gen + Box Relay (Most Powerful — Enterprise Advanced)


For a fully automated, form-driven document generation experience, Box Doc Gen is the most robust solution.

 

How it works:

  1. Create a branded Word template using the Box Doc Gen Template Creator add-in — embed dynamic fields like {{classification}}, {{date}}, and {{author}}, plus static branding (logo, headers, footers).
  2. Upload it to Box as a Doc Gen template.
  3. Build a Relay workflow with a Box Forms trigger — users fill out a short form (e.g., document title, classification level), and a fully branded document is automatically generated and saved to the right folder.
