💡 Box AI for Hubs is a feature designed to enhance your experience with Box Hubs. This guide will help you learn more about how to make the most of this powerful tool.

 

What is Box AI for Hubs?

  • Box AI for Hubs allows users to ask questions across all the curated content — i.e., multiple documents — in a Hub, and receive AI-generated answers such as summaries, information analysis, and more, right away.

 

Is it possible to generate reports for Box AI for Hubs queries? How?

Box administrators can see and generate reports in the Admin Console. Here’s how:

  1. Navigate to Admin Console > Reports, and click on ‘Create Report.’

  2. Choose ‘User Activity’ Report in the menu that pops up.

  1. Check the AI Activity action type and select the date range and click run.
  1. The admin will be able to see all AI queries over that date range including Box AI for Hub queries.

 

Who has access to Box AI for Hubs?

 

If a user already has Box AI enabled, will Box AI for Hubs be enabled automatically? Or will it be turned off by default and need to be enabled by the admin?

  • No. Box AI for Hubs will not be enabled automatically. Each enterprise must explicitly opt in to Box AI for Hubs. Box will not turn it on wholesale for users. If users do not want to use Box AI for Hubs, they do not have to.

 

How can admins enable Box AI for Hubs?

  • Admins for organization on Box’s Enterprise Plus and Enterprise Advanced plan can enable and configure Box AI for Hubs from the Admin Console by following these instructions. Please note, admins will need to have agreed to our legal terms for Box AI Product Addendum (either via their 2023 BSA, the click-wrap addendum in the Admin Console, or a separate "paper-based" addendum).

If a Hub is shared with external users, will they be able to use Box AI?

  • External users will only be able to use Box AI if their enterprise has also enabled Box AI.

 

Are there any questions that Box AI for Hubs cannot answer?

  • Box AI can only answer questions about the Box content referenced in a Hub. At this time, it is unable to answer questions about the context descriptions, the collaborators and permissions they have, or the number of files and types of files in a Hub.

 

Can I evaluate the answer provided by Box AI in Hub?

  • You can now evaluate every response given by Box AI in Hub. The feedback information will be used to improve future Box AI responses.

 

Is there a file limit for Box AI for Hubs?

  • Yes. Box AI for Hubs works on Hubs with less than 10,000 files (we are generous in how we calculate the number of files so there is a margin before notifications kick in). Additionally, Box AI for Hubs will only work on Hubs if there are less than 10 million files across all Hubs in an enterprise.

Are there any Box AI for Hubs limitations?

Yes. Box AI for Hubs limitations include the following:

  • Number of files for Box AI for Hubs in a Hub - 10,000. (Note: This limit includes folders and items inside folders).

    • As you get closer to this limit, queries on that Hub will slow down or time out.

  • Number of files for Box AI for Hubs across all the Hubs in an enterprise - 10,000,000.

  • Only the first 1MB of text (roughly 1,000 pages) in files added to the Hub will be used to construct answers given by Box AI.

  • If the Hubs file limit is exceeded and the customer removes files from the Hub, it will need to be reindexed before Box AI will work again. This requires a ticket to support.

  • Currently does not work on spreadsheets, JSON, and other structured file formats (spreadsheet querying coming soon).

  • Currently does not work for images, video, audio, and scanned pdfs (image querying coming soon).
