Three practical lessons from our recent community roundtable on workflow automation.

We recently brought together our customers for a roundtable on Workflow Automation. We covered a lot of ground and here are three takeaways:

  1. Automation works best when it connects across your ecosystem: Box Customers made it clear that workflow automation can’t live in a silo. One of the biggest themes from the roundtable was the need for automation solutions to connect with the broader enterprise stack, from ServiceNow, Salesforce, and Workato, to custom webhooks and other business-critical tools.

    1. Takeaway: The more connected your automation is, the more value it can unlock.

  2. Smarter workflows depend on metadata and conditional logic: A major opportunity for automation is making workflows more context-aware. Participants highlighted the need for conditional routing, metadata-based triggers, and dynamic task assignment based on document content or AI outputs.

    1. Takeaway: The next evolution of automation is intelligent decision-making built into the workflow itself.

  3. Automation is evolving from task execution to process orchestration: The conversation showed that users want more than simple task automation. They want end-to-end process orchestration. This is everything from document generation with Box DocGen to form-based workflows and downstream actions triggered by metadata updates.

    1. Takeaway: Modern automation should help teams coordinate entire business processes, not just isolated tasks.

A lot of teams at Box have already been automating their workflows. Here are some of  the workflows we are beginning to build out and actively develop:

  • Recruiting Pipeline Intelligence & Automation: We are automating key recruiting processes, including setting up Slack integrations, streamlining Quarterly Business Reviews (QBRs), managing referral programs, and automating onboarding workflows.
  • Order Filing & Metadata Extraction: This workflow runs a metadata extraction agent on incoming order files to capture data into a spreadsheet, and then automatically files those orders into subfolders based on the order date.
  • Reseller PO & Billing Status Tracking: This process manages reseller and partner purchase orders by comparing PO files against reference spreadsheets from Salesforce and Zuora, marking invoiced orders as "Billing Done," and moving files to the appropriate folders. We are also working on a metadata-driven workflow using Box Automate to handle these file moves automatically.
  • Policy Automate Workflow: This workflow circulates policy documents to owners at the start of each quarter for review, routes them to approvers for signatures, and generates final signed versions through Box Sign.
  • Partner Intake Workflow: When a partner requests a quote via a form, this workflow routes it to the renewals team, identifies the correct renewal representative, creates a customized folder per vendor, recommends pricing using an AI agent, and sends out email notifications.
  • Supplier Trust: We are leveraging AI agents to analyze vendor documents (such as security questionnaires and SOC reports) to assess risks and automatically generate trust reports.
