The Box for Android mobile application gives you the power and simplicity of Box on any Android device. Create, view, edit, and share content, all on the go.
 

Managing Content 

 

Adding Files and Folders

To add files from your Android device to Box:
  • Open the Box app
  • Navigate to the folder where you'd like to add your files. If you'd like to create a new folder or add files to the root level of your account, stay on the All Files screen.
  • Tap the + icon at the bottom of the screen

Choose how you'd like to add files: 

  • New Folder: Create a new folder at the root level of your account or within the folder you're viewing
  • New Document: Create a new Microsoft Office Document or text file. 
  • New Box Note: Create a new Box Note.
  • New Media: Use your device's camera to take a photo or video and upload it directly to Box.
  • Add from Library: Upload media (photo, video, documents) from your device's media library as well as other local document storage apps.

 

Move or Copy

To move or copy a single item:
  • Navigate to the files/folders that you would like to move or copy. 
  • Tap the ellipses (...) to the right of the file name to open the More Options menu.
  • Drag the menu up to reveal the full list of actions, then select Copy/Move.

  • Select a destination, then tap either Copy Here, or Move Here to complete the appropriate action.
  • Alternatively, you can perform these actions after previewing an item. Simply tap the ellipses in the top-right corner of the preview screen, and select Copy/Move.
To move or copy multiple items:
  • Navigate to the files/folders that you would like to move or copy. 
  • Select the items you'd like to move or copy by long-pressing (press and hold) on an item, then tap the checkbox next to additional items to select them as well.
  • Once you have selected the appropriate items, tap the Copy/Move icon in the top-right corner.

  • Select a destination folder, then tap either Copy Here, or Move Here to complete the appropriate action.

 

Delete

To delete a single item:
  • Navigate to the files/folders that you would like to delete. 
  • Tap the ellipses (...) to the right of the file name to open the More Options menu.
  • Drag the menu up to reveal the full list of actions, then tap Delete.

  • Alternately, you can delete an item after previewing it. Simply tap the ellipses in the top-right corner of the preview screen, and select Delete.
To delete multiple items:
  • Navigate to the files/folders that you would like to move or copy. 
  • Select the items you'd like to delete by long-pressing (press and hold) on a item, then tap the checkbox next to additional items to select them as well.

  • Once you have selected the appropriate items, tap the ellipses (...) in the top-right corner. Then tap Delete. 

 

Editing Files

You can open and edit files with the appropriate application on your mobile device, provided you have that application installed (e.g. To edit a PowerPoint file, you must have the Microsoft Office mobile app installed on your device).

To edit files:

  • Tap the file to preview it in Box
  • Tap the ellipses (...) in the top-right corner to open the More Options menu
  • Tap Open In...
  • The file will be opened in the default application installed on your device. (The default application used to open a given file type can be modified in your device's settings.)

 

Box Notes 

Box Notes, a native document creation tool, can be created and edited in the Box Android app. Box Notes are web-based documents and do not require any additional software. Use Box Notes to create, edit, and share ideas in real-time with your collaborators. 
 

Creating Box Notes
To create a new Box Note
  • Navigate to the folder where you'd like to create the new Box Note.
  • Tap the + icon from the action menu at the bottom of the screen. 
  • Tap New Box Note.
  • Name your Box Note, then tap Create. The note will open automatically.

Editing Box Notes 
  • Tap the Edit icon in the bottom-right to begin typing in your new Box Note.

  • Use the toolbar at the top of the screen to format text. Apply changes to existing text by highlighting it before selecting a formatting option.

  • Tap the Check Mark in the upper-left once you are done typing to dismiss the keyboard.
  • You can leave comments on Box Notes by tapping the Comment icon in the upper-right corner.  

Sharing Box Notes
Tap the Share Link icon at the top of the screen, then tap the Share link enabled slider to generate a shared link to your Box Note.

Only collaborators with access levels of Editor or Co-owner can make changes to Box Notes. All other collaborators will only have view access. You can choose to send the shared link directly to collaborators via the messaging app of your choice, or copy the link to the clipboard and paste it later. 

 

Recents

The Recent section gives you quick access to your recently-viewed files.
The following files will appear in this section:
  • Actively-previewed files
  • Files opened from a shared link
  • The last 100 files that you viewed
To access the Recent section: 
  • Open the File menu by tapping the icon in the top-left corner.
  • Tap Recent

Favorites 

The Favorites section allows you to quickly access files/folders that you have marked as favorites. Mark files and folders as favorites if you need to access them often.
 
To mark an item as a favorite:
  • Tap the ellipses to the right of the item's name
  • Tap Add to Favorites
To access your Favorites:
  • Open the File menu by tapping the icon in the top-left corner.
  • Tap Favorites

Save Files for Offline Access

You can save files and folders from Box to your android device so you can access them when your phone is not connected to a network (data or WiFi). You can access all files saved for offline access by tapping Offline in the file menu (left-hand side menu).
 
To make a single file available for offline use, follow these steps:
  • Locate the file or folder you'd like to save for offline access.
  • Tap the ellipses (...) to open the More Options menu.
  • Tap Make available offline. An icon will appear indicating that your file is now accessible offline.
  • Alternatively, you can perform this action after previewing an item. Simply tap the ellipses in the top-right corner of the preview screen, and select Make available offline.
 
To make multiple files available for offline use, follow these steps:
  • Locate the files or folders you'd like to save for offline access.
  • Select the items you'd like to delete by long-pressing (press and hold) on a item, then tap the checkbox next to additional items to select them as well.
  • Once you have selected the appropriate items, tap the ellipses (...) in the top-right corner. Then tap Make available offline.

 

Exceptions:
  • If you do not have sufficient storage space on your device, you will not be able to save the content for offline use.
  • Box Notes cannot be saved for offline use
 

 

Sharing and Collaboration

 

Sharing

To send a shared link to an item in Box: 
  • Locate the file or folder you'd like to share 
  • Tap the ellipses (...) to the right of the item name to open the More Options menu.
  • Tap Share, then tap the Share link enabled slider to generate a shared link.

  • You can copy the link to the clipboard and paste it later, or send the link directly using the messaging/email app of your choice. 
 
Access Limits and Restrictions
You can set access limits, restrict actions, and set an expiration date for your shared link before sending it out. Tap Edit Link Access to modify shared link settings.

Link Access: Secure this link so only a select group of people can access your content or leave it open for public access
  • People with the link: Anyone who has the link can view your content, whether they're logged in or not. We recommend one of the other access levels for files or folders you'd like to keep secure.
  • People in your Company: Allows anyone with a Box account at your company to see your content. Users will need to be logged in to see the file or folder linked and you will usually be able to see which specific users in your company have viewed your files.
  • People in this folder: Access is limited only to users you’ve invited to your file or folder as Collaborators. You can invite or remove Collaborators to expand or limit the list of users who can view your files.
 
Downloads allowed: If this option is enabled, users accessing your file or folder from the link can also download your content. Turn this off if you'd like to create a view-only link.
 
Require Password: If this option is enabled, users accessing your file or folder via this shared link will be prompted to enter a password before they can view the item. You can set the password and modify it at any time. 
 
Expire Link: The link will be deleted on the date you set in this field. Leave this option inactive if you don't want the link to expire. If you set an expiration date, users will not be able to access your file or folder from the link after that date.
 

Add and Manage Folder Collaborators

Box collaborators have different access levels. Each access level has different permissions for different features when using Box.
 
Add Collaborators
  • Locate the folder into which you'd like to add collaborators.
  • Tap the ellipses (...) to the right of the folder name to open the More Options menu. Alternatively, you can open the folder, tap the ellipses in the top-right corner, and select Folder Actions.
  • Tap Share, then tap Add Collaborators 
  • Start typing the name or email of a person in your contacts and the closest matches will appear below. Select the required name/email.
  • Assign the required access level.
  • Tap the Send icon in the top-left corner to send collaboration invites.

View and Manage Collaborators

  • Locate to the folder in which you'd like to manage collaborators.
  • Tap the ellipses (...) to the right of the folder name to open the More Options menu. Alternatively, you can open the folder, tap the ellipses in the top-right corner, and select Folder Actions.
  • Tap Share, then tap Manage Collaborators
  • You will see a list of all collaborators who have access to the folder. Collaborators are displayed prioritized by access level.
  • Tap a collaborator to modify their access level, or remove them from the folder.

 

App Settings

Access your app settings (Settings in the main menu) to set your notification and security preferences for the Box app. You will also find the amount of storage you have used listed at the top of the settings screen. 

 

Notification Settings

Here you can choose when you will receive notifications from the Box app. Uncheck the boxes to stop receiving notifications. 

 

Security Settings

Uncheck Keep me logged in if you would like to be logged out of your Box account every time you close the Box app.

 

Enable Require passcode to set a 4 digit passcode that you will be required to enter each time you open the Box app.

 

If your device has fingerprint scanning capabilities (Android 6.0 and up), you can choose to unlock the app using your fingerprint instead. Enable the Require passcode setting and if your device has the capability, the fingerprint option will be displayed.

 

Folder Activity

Under Folder Activity, you can remove any Cached Files from your device. Cached files are temporary files that are created when you preview a file, and save you time when you preview the file again. Removing cached files will clear some storage space, but will also mean that you will need to re-load any previewed items.

 

If you enable Automatically upload files, Box will detect files stored on your device and upload them to Box automatically.
